A cluttered workspace can hamper productivity and lower morale. But after a while, it can be easy for items to pile up, with little extra time available each day for you and your team to clean things up. You could set aside a specific day each year to do a “spring cleaning,” but that doesn't help with clean-up during the other 11 months each year.

As 2017 comes to an end, it's a great time to step back and take a look at the clutter in your workspaces. Go beyond the few employees who have messy desks of their own choosing to the items that have gathered in shared spaces. You may even find that there are file cabinets and other pieces of furniture that can be removed in order to make the most of the space you have. This guide can help you declutter your office spaces in 2018.


Inventory and Discuss

The first step toward deciding what to remove is understanding what you have. Go through each space in your office and note items that can be removed, without thinking about the process necessary to remove them. Once you have a list, you can get your team together to discuss what should stay and what should go.


Make a To-Do List

Once you've decided the items to be removed, make a list, grouping together things that can be eliminated as part of the same process. File cabinets should go in one category, while excess equipment should go in another. The hard drives and paperwork that are part of those items should be detailed as part of a separate to-do items.


Delegate

Now that you have your to-do list in place, it's time to make assignments. If you choose to do everything in house, everyone should take an equal part in your clean-up efforts. However, you may find it's far more efficient to outsource some parts of the effort to allow your employees to remain productive.


Ask for Progress Reports

Schedule regular meetings to follow up on the progress of your clean-up efforts. If you've outsourced sections of the project, assign trusted employees to manage the work the third-party providers are doing and report back to you during these meetings. You'll find that by doing this, everyone stays focused on moving things forward, since they'll be responsible for reporting in.

Cleaning up your spaces is only the first part of an ongoing project to keep your office as clutter-free as possible.
